Microsoft 365 Setup for UK Small Businesses

By Lewis Taylor, LT Innovations

A practical guide to Microsoft 365 for UK small businesses — email, Teams, OneDrive, MFA and when to call a pro from Ampthill across mid-Beds, north Bucks and south Northants.

Microsoft 365 is the modern replacement for “just set up Outlook and hope”. Done properly, it gives your small business professional email, shared files, Teams calls and security defaults that consumer Gmail or a random old host cannot match.

Here is a clear setup path I use with small businesses from Ampthill across mid-Bedfordshire, north Buckinghamshire and south Northamptonshire.

Start with the right plan and domain email

Pick a plan that includes Exchange email and OneDrive at minimum. Business Basic or Business Standard covers most small teams. Your email should use your domain (you@yourbusiness.co.uk), not a free consumer address.

If you are migrating from an old host, plan the DNS cutover so mail keeps flowing. Rushing MX records is how messages go missing for a day.

Turn on MFA before you invite the whole team

Multi-factor authentication stops most account takeovers. Enable it for every admin and user before you migrate sensitive mailboxes. Pair it with a password manager so people are not recycling weak passwords.

OneDrive and SharePoint — decide where files live

Personal working files belong in OneDrive. Shared team documents belong in SharePoint or a shared library. Mixing everything into one person’s laptop folder is how businesses lose data when someone leaves.

When DIY is enough — and when it isn’t

A solo trader can often start with a guided setup. Multi-user migrations, legacy PST files, shared calendars and security defaults are where most owners get stuck.
